Plan the evidence handover before a cancellation date
A renewal decision should include what happens to the records your team will still need. List the operational questions those records must answer, the responsible reviewer and the agreed access end date. Keep a proposed cancellation date separate from a confirmed handover date. A new dashboard going live does not demonstrate that the earlier history has been transferred.
Use this checklist while comparing proposals or planning a provider discussion. Do not cancel service, delete an account or disconnect tracking to test it. Obtain the relevant agreement and an approved demonstration first.
List record types and periods separately
Ask for a list of the records the proposed handover includes: journey history, selected event details, available measurements, configuration information and relevant activity evidence. These are questions, not a claim that every system stores or exports every item. Specify the vehicles and reporting periods needed for each item and mark unavailable data explicitly.
Geotab documents retention schedules by data category and warns that its purge process permanently removes certain records. That vendor example shows why one general statement about keeping data is insufficient; it does not establish a SafarTrak retention period or purge feature.
Separate an export, a backup and usable access
An exported report answers a particular reporting question. A backup is a copy intended to support recovery. Neither by itself establishes that another provider can import the data or that your team can continue viewing it after access ends. Ask which format and supporting explanation the receiving team needs, and whether the proposed receiving system can actually use them.
Ask separately about the period records remain accessible, the last date an authorised user can obtain them, and any separately agreed recovery process. Keep unanswered timing or capability questions unresolved. Do not substitute a privacy-policy summary for the actual deployment agreement.
Test a small approved handover
Choose non-sensitive demonstration records and follow the complete proposed handover. Ask the recipient to open the delivered material and locate a known vehicle reference and period. Record which original record or report it came from and what was excluded. The existing export-review article covers dates, identifiers and units when opening a spreadsheet; this check focuses on whether the receiving team has what it needs before access changes.
If an import is proposed, ask for evidence of that supported process rather than assume an export is compatible. Agree how the team will record missing periods, unsupported fields and acceptance. Do not upload real fleet files to a public worksheet or an unapproved tool.
Assign the owner and record acceptance
Name the person who requests the handover, the person who receives it and the reviewer who decides whether the agreed evidence is complete. Confirm the authorised delivery route, recipient permissions and the process for questions. Keep customer locations, driver details and account credentials out of public editorial examples.
The blank worksheet records the requested record type, period, evidence reference, responsible owner, deadline and demonstrated result. A completed transfer should be accepted against the agreed list; it is not automatically proof of completeness or successful migration.
Bring the handover question to a SafarTrak evaluation
Use the platform discussion to confirm which historical records, formats, access arrangements and limitations apply to your proposed deployment. Ask the team to demonstrate the supported process using approved records and document unresolved requirements. No bulk export, API, migration service, recovery time or post-cancellation access period is promised here.
Keep the wider vendor-selection Guide as the reference for supplier evaluation. This checklist is one specific procurement decision: making the required evidence available to the right reviewer before an agreed access change.
